Guest Booking Terms & Conditions
Thank you for booking a holiday or wedding with us in our accommodation at Tapnell & East Afton Farm on the Isle of Wight.
All bookings are provisional until payment is received and the booking is confirmed by us.

Your booking and payment (of the deposit or full amount) for your accommodation(s) is your acceptance of these Terms and Conditions. Bookings can only be made if you are at least 18 years old. All bookings are provisional until confirmed by us.

1. Who we are.
Turney Family Farms comprising Tom’s Eco Lodge, Tapnell Manor, East Afton Farmhouse & holiday cottages. Tapnell Farm, Yarmouth, Isle of Wight, PO41 0YJ (01983 758729). We/us in these terms and conditions will mean TEL. You are the guest when you have booked with us and you are solely responsible and liable for all of your own family/friends or other guests whom you invite to stay or visit you while you are on our site (invitees).
2. Type of bookings permitted.
Bookings made through our or our agents website are for private holidays. For Whole Site bookings or large groups see condition 17 below.
(a) Arrival - You must arrive after 4pm on the date of arrival, unless you have prearranged anything different to this.
(b) Departure - you and your invitees must depart from your accommodation by 10am on the departure date, unless pre-arranged, as we may have other guests arriving later the same day.
(c) Clearing-up - You must organise all clearing up after your booking so that the site and accommodation are clean, tidy and clear of all rubbish and bottles. Please put all rubbish and recyclables for disposal in the Biffa bins
provided near the car park. We reserve the right to charge for overstays and rubbish clearance.
4. Prices, Booking and payments
(a) Prices on our website are not binding, but prices stated in any correct booking confirmation email you receive from us (save for obvious or manifest error) will be honoured as shown and (where applicable) will include VAT. The price of your accommodation(s) is based on the date of your booking and/or other circumstances relevant to the nature of the site booking.
(b) Your booking will be held upon payment of a non-refundable deposit of 25% or payment in full. Deposits are payable only when booking more 30 days in advance of your arrival date. Any booking less than 30 days in advance of your arrival date must be paid in full immediately and all balances must be paid within 30 days for us to continue to hold your booking.
(c) Where a deposit has been paid, the full balance will be due 30 days in advance of your arrival date. You may receive a reminder from us but it is your responsibility to pay on time. If you are unable to pay the balance before the stated due date, you will forfeit your deposit and your booking will be cancelled but we will endeavour to contact you prior to any cancellation.
(d) Payment may be made by Cheque, bank transfer or card payment over the phone.
(e) On receipt of your payment, a booking confirmation will be emailed to you within 2 working days. If you have not received your booking confirmation within this time, please notify us as soon as possible. When you receive your confirmation email, check the details are correct and notify us immediately if there are any inaccuracies.
5. Cancellation and Insurance
We no longer be offering a COVID refund or postponement policy. It is important that you book your own travel insurance to cover your booking.
- If all monies have been paid in full (deposit and balance) or deposit only and you cancel at date 30 days or more before your arrival date, only your deposit is forfeited and the balance will be returned to you. Cancellation in advance of 30 days prior to arrival will always result in the deposit being forfeited. If we get an equivalent replacement booking for your cancelled dates, we will at our discretion offer a refund of your deposit minus a £30 admin fee.
- If all monies have been paid in full (deposit and balance) or deposit only and you cancel at a date within 30 days of your arrival date, all monies paid for the booking are non-refundable.
- At our discretion, if your cancelled holiday dates get rebooked then we can offer a refund of payments minus any costs incurred for marketing, admin etc.
- We strongly advise that you take out insurance if you are arranging any booking.
- If the location of your booking is inaccessible due to adverse conditions or for any reason beyond our control, your booking can be deferred to a later date subject to availability within 365 days of the original date and at our discretion otherwise, you should advise your insurance company.
- We may, without liability and without refund to you, cancel your booking if we are made aware or discover that the nature of your booking is inaccurate and/or contravenes our booking conditions.
- We reserve the right to cancel bookings at any time prior to arrival.
- Any bookings from any holidays or weddings that are transferred, deferred or postponed are non-transferable and non-refundable unless otherwise agreed by us.
6. Alteration
(a) Alterations to your booking can only be made more than 30 days prior to the arrival date, after which time alterations will be treated as a cancellation. All alterations incur a £30 administration fee and are subject to availability and at our discretion. Basic alterations such as number in the party can be made free of charge, please inform us.
(b) Differences in the total amount payable resulting from alterations will be refunded to you in the case of a decrease in price and paid by you in the case of increases in price, or the outstanding balance will be altered accordingly.
7. Information
Information on our website is correct to the best of our knowledge, but circumstances outside of our control may cause it to become inaccurate. We apologise for any inconvenience that may result from this.
8. Noise and behaviour
(a) Please be respectful of other guests and keep noise to a reasonable level. We have a noise curfew of 11pm and ask guests to keep noise outside to a minimum from 9pm. Any guests creating excessive noise, resulting in more than one complaint, after then will be asked to leave without a refund.
(b) You undertake that you and your invitees will behave in a proper, appropriate and legal manner with due respect to us, our other guests on site, our employees or agents, the site, tents, animals, neighbours and any third parties on our estate or to our and their property. If you or any of your invitees behave inappropriately or improperly (of which we shall be the sole and final judge on our site) or illegally, we reserve the right (with or without the intervention of the police depending on the nature of the behavior) to ask you and/all of your invitees (at our sole discretion) to leave the site and our estate before the end of the booking period. No refund will be given in these circumstances. In addition, we reserve the right to sue you and/or any of your invitees for any loss, damage or injury caused to us, our employees or agents, the site, the safari tents, any animals or other property owned by us or our other guests/third parties and/or their property.
9. Responsibility and Liability
(a) By booking our accommodation(s), you confirm that you take sole and exclusive responsibility for your own safety and wellbeing and that of your invitees and are solely and exclusively responsible for use of the accommodation, site, sea, rivers, lakes, climbing trees, going near tractors and farm machinery and any other activity or hazards on or adjoining our land and that you have booked entirely at your own and your invitees own risk. You are solely responsible for advising your invitees of this.
(b) We accept no liability for accident, loss of property or personal injury to you or your invitees during your/their stay at the site or on our estate.
(c) We will not be liable for any act, neglect or default on our part or on the part of any other person not within their employ or otherwise under our control, nor for any accident, damage, loss, injury, expense or inconvenience, whether to person or property, which you or any of your invitees or any other person may suffer or incur arising out of, or in any way connected with your booking unless we are held to be solely and directly responsible for the same and such liability has not been limited or excluded elsewhere or may not be under the governing law. In addition, we accept no liability for loss of or damage to your or any of your invitees possessions on our site, safari tents, property, land or estate.
(d ) Nothing in these terms and conditions excludes or limits our liability:
(i) for death or personal injury caused by our negligence.
(ii) for any matter which it would be illegal for us to exclude/limit or attempt to exclude/limit our liability.
(e) We will not be liable for any force majeure or other events outside of our control which cancels your booking or cuts short your booking if the event occurs while you are here. We will endeavour to offer you relocation or at our sole discretion a % refund (as applicable) otherwise you must advise your insurer.
(f) We may have additional guest/invitee conditions from time to time which must be observed specific to the site, safari tents, property, estate or location (eg health & safety, fire, etc) which you and your party of guests/invitees undertake to comply with.
(g) Guests & invitees park at Tapnell at their own risk. We cannot accept any responsibility for damage to guests or invitees, or their properties.
(h) We accept no responsibility or liability for any third party products, services, extras that are used on site by you the guest. This includes, but is not exclusive to, Hot Tubs, Catering, Entertainment, etc
10. Dog Policy
Dogs are permitted only when agreed and paid for (between £20-40per pet depending on size of unit). Dogs must be kept on a lead around the accommodation and other guests, unless well-behaved and not invasive of other guests' privacy. There are plenty of open fields nearby for them to run off the lead. Please respect other guests' space and do not let your dog venture away from your property.
11. Breach of Booking Conditions
(a) If there is a breach of any of these terms and/or conditions by you or any of your invitees or by any other party whom you or your invitee has permitted on site, we reserve the right to enter the site, safari tents or other property at any time and end the booking and require you and your invitee(s) or offending party to leave. This is in addition to all other rights specified in these Booking terms and conditions and available at law.
(b) Ending the Booking by either of us for reason does not affect our other rights and remedies.
(c) Bookings made and donations given cannot be sold on for profit or used in a raffle without permission from Tapnell Farm.
12. Governing Law and Jurisdiction
Any dispute will be governed by law and the parties agree to the exclusive law and jurisdiction of the courts.
13. Authority to Book
By entering into this Booking you certify that:
(i) You agree and you are authorised to agree to these Booking Terms and Conditions on behalf of all persons included in and/or who may accompany you on your Booking, including those substituted or added at a later date;
(ii) you are over 18 years of age;
(iii) you agree to take responsibility for your entire party occupying our site, eco lodges , farm and property.
14. Discrepancies
In case of a discrepancy between the website and these Booking Terms and Conditions, these Terms and Conditions shall prevail.
15. Validity clause
In the event that a court finds that any term or condition in these Booking Terms and Conditions is illegal or void, the illegal or void provision will be severed from the remainder of the Booking Terms and Conditions, which will continue to be valid and have full force and effect.
16. If you wish to book the whole site/ majority for a special occasion, or you are a group booking, this can only be booked directly with us. We also need to approve the booking. So contact us by email: stay@tapnellfarm.com or phone 01983 758729 and let us know about the occasion you would like to organise. We do not accept Stag, Hen or Party groups in Tapnell Manor or Tom’s Eco Lodge. Any groups of this type could be removed from the eastate without refund (at our sole discretion).
Farm Park & Activity Booking Terms and Conditions
Thank you for booking with us, we are very excited to welcome you to Tapnell Farm.
This agreement, along with any other information we send to you regarding your booking form the basis of your Contract with us. When you confirm your purchase for our Farm Park any of our activities, you accept and agree to be bound by the terms and provision of this agreement. In addition, whilst you are on site, you shall be subject to any posted guidelines or rules applicable to such services. Any participation in activities will constitute acceptance of this agreement.
By completing a booking, you agree to abide by our rules and restrictions as stated on our website, booking system, and on signage around our activity sites. We reserve the right to refuse participation should a participant not abide by our rules and restrictions.

Your Contract will be with Turney Family Farms Partnership based at Tapnell Farm, Middle Road, Isle of Wight, PO41 0YJ throughout this agreement referred to as “we, us, ours”.

Online Booking
All bookings are made online and are to be paid in full – we are unable to take bookings without taking full payment. Once purchased, online tickets may not be used in conjunction with any other offer. No ticket may be resold.
Any discounts or offers online are available for limited quantities and periods only and will only be available via booking through the website. Please have your booking confirmation/barcode ready for check-in on arrival.
Prices
Prices are correct at the time of going to press and are subject to change without notice.
Prices are inclusive of any applicable taxes and there are no surcharges whatsoever. Once you have paid, we will not increase the price of your ticket(s).
Amendments and Cancellations
Any amendments required to the booking can be made online.
Any cancellations made 48 hours prior to the date of activity will not be eligible for a refund.
If we cancel your booking:
In the extremely unlikely event that we are forced to cancel your booking, for example due to adverse weather making an activity unsafe, we will endeavour to move your booking to a suitable day/time so you can still enjoy the activities you have booked.
Should we not be able to move your booking to a suitable time/day, we will refund all monies paid by you. We will not be held liable for loss, damage, costs or other expenses you may incur as a result of your booking being changed or cancelled outside of your contract with us.
Supervision and Behaviour
The name on the booking, and any accompanying adults shall:
· Act ‘in loco parentis’ to any children in the group.
· Ensure that the group is adequately supervised. *
· Ensure the group meet the pre-requirements of their activities and follow the rules of any activity they are participating in.*
· Ensure the group are aware of their behaviour and actions in context to their surroundings.
· Ensure that any members of the group do not break any laws.
We expect all guests to be considerate and respectful of those around them.
If you or any member of your party behaves in such a way as to cause risk or danger, upset or distress to any third party or damage to property, we are entitled to terminate the booking of that person without notice. In this situation the person(s) concerned will be asked to leave site, we will have no further responsibility towards such person(s) and no refunds will be given. We will not be liable for any payment, loss, damage or other expense incurred by you, as a result of the termination.

General Terms of Use
The contents of this section apply to: Farm Park Aqua Park, Padel Tennis, Pickleball and Football Golf.
Tapnell Farm take no responsibility for injury whilst taking part in or spectating any activity.
Tapnell Farm take no responsibility for loss or damage to property.
We reserve the right to refuse admittance to or remove a participant/spectator whilst on site as deemed necessary. Reasons include but are not limited to:
· Not complying with safety rules.
· Not complying with staff instructions.
· Displaying aggressive verbal or physical behaviour.
· Participant considered to be under the influence of drugs and/or alcohol.
In the circumstances above, no refund will be given. In the unlikely situation that we must remove participant(s) from the activity for a reason outside your control, we will endeavour to rebook your activity or offer a refund that reflects the amount of activity missed.
Late arrivals/no-shows
Please ensure you plan your journey and leave plenty of time to get to us for your scheduled arrival stated on your Booking Confirmation.
If you arrive late for your booking, we will always try to accommodate you where possible however the finish time of the activity will not be changed and so you will have less time on the activity.
Should you be late for your Aqua Park, Padell Tennis, Pickleball or Football Golf activity we reserve the right to cancel the booking without refund should it not be possible for us to reschedule your activity. This is to avoid any disruption or delay to our activities.
Activity Specific Terms of Use and Requirements
Aqua Park
The safe welfare of all participants is very important to us, so every Aqua Park participant must follow the points below:
· Measure between 110cm and 210cm tall.
· Be able to swim 25m unaided whilst wearing a buoyancy aid.
· Be aged 7 or over.
· Remove ALL jewellery and spectacles before using the Aqua Park – this includes but is not limited to: wedding/engagement rings. All removeable piercings must be taken out.
· Any children aged 7 to 11 must have an adult accompany and supervise them on the inflatables in a ratio of 1:3.
· Any children aged 12 or over must have an adult in the spectating area for the duration of the activity or have a responsible adult participating with them.
· For your safety, you are not permitted to use the Aqua Park during pregnancy, for other activities we recommend you consult a medical professional before participation.
· You must let us know if you have any medical conditions that may affect your participation or be worsened by your participation. You will have a chance to talk to the staff member delivering your safety brief who can then advise you and the rest of the lifeguard team where necessary.
· You can bring your own wetsuits, and socks, however if a member of staff deems them unsafe, or likely to damage equipment you will not be able to wear them.
In addition to the above, all participants must meet any additional requirements and/or follow any instructions outlined in the Participant Health and Safety Agreement, or on the website and signage around site.
Consent
We expect that the booking name will pass on all relevant descriptive information and activity requirements where applicable to all participants, and/or parents/guardians of any participants under the age of 18.
All participants must sign our online Participant Health and Safety Agreement. Where a participant is under the age of 18, a parent or guardian must sign this on their behalf.
Football and Frisbee Golf
By proceeding with a booking, you are agreeing to comply with the following safety rules:
· Any children age 16 or under must have an adult book on and participate with them.
· To the left of the Football and Frisbee Golf course is a public bridle path. Should you be playing nearby and see a horse and rider, stop play immediately and allow them to pass before resuming play.
· No football studs or boots permitted, only Astroturf trainers, other trainers, or shoes.
· The hole flags should not be removed from the holes at any time.
· Please take extra care on the course in wet and windy conditions. The ground will be slippery when wet, this may include astro-turf tee off areas.
· No drop kicking of the ball at any time! All shots must be taken at floor level once the ball is still.
· Please do not leave litter on the course – there is a bin in the seating area.
· No smoking on the course. A smoking area is located in the seating area.
· Tops (t shirts) must be worn at all times during hot weather.
In addition to the above, all participants must meet any additional requirements and/or follow any instructions outlined on the website and signage around site.
Padel Tennis & Pickleball
Health and Safety Terms:
Players must wear appropriate sports clothing and non-marking footwear.
Children under 16 must be supervised by an adult at all times.
Please warm up properly before starting to pay to prevent injury.
Tapnell Farm is not responsible for any injuries sustained during use of the court.
In case of any accident, report immediately to Tapnell Farm staff.
Respect other guests and keep noise levels appropriate.
Legal Terms and Conditions:
Use of the Padel/Pickleball Court is at your own risk. Tapnell Farm accepts no responsibility for loss, theft, or damage to personal property.
Cancellations must be made at least 24 hours prior to the booked time for a refund or rescheduling. This can be done by logging into your online account.
Tapnell Farm reserved the right to refuse entry or remove any players acting in an unsafe or disruptive manner.
By proceeding with this booking, you confirm all players have read and agreed to these terms.
We recommend players have appropriate personal injury insurance.
Tapnell Farm Park
Tickets can be purchased online in advance or on admission desk on the day of visiting.
Season Pass holders will need to book in advance, using the free Season Pass holders entry and show their booking QR code as well as their valid season pass when arriving at the Farm Park.

All rules around the Farm Park need to be followed at all times, these are stated on various boards and signs around the Farm Park. The management reserves the right to refuse admission to any ticket holder and, in the interest of the public and for safety reasons, we also reserve the right to request guests to leave the park at any time.
Some outdoor activities, including but not limited to the jumping pillows, sledge slide and witches hat climbing frame may be closed in wet or windy conditions, this is for the safety of our visitors. Staff will do their best to get these areas open as and when it is safe to do so.
Season Pass T&Cs
Summer Season Passes are valid from a specific date as stated on the website.
1. Please book your free season pass admissions online before arriving at the park and show both your QR code/order reference number and your valid season pass at admissions when you arrive. Please check our opening times page on our website for all up to date information.
2. Owing to the capacity of the Farm Park, we will reserve an allocation of tickets exclusively for Season Pass holders during the busy holidays.
3. Tapnell Farm reserves the right to change any of its opening/closing times at any time and at short notice. (this includes any special events).
4. Children must be supervised at all times. Children under the age of 16 years are not permitted into the Farm Park on their own. A responsible, paying adult must accompany them.
5. Under 2’s are required to have a ticket in order to gain access to the Farm Park. Once they have had their 2nd birthday they will need to have a season pass purchased for them or pay the normal admission rate on each visit if preferable.
6. A photograph of each pass holder will be required for our system Season Pass, which you can do from your device when purchasing a season pass.
7. Entry into the Farm Park will only be granted once a valid card for each member has been shown. Failing to present a valid card will result in paying our normal admission fees. A refund for this visit will be offered if a valid season pass QR code of the person who the ticket was originally purchased for is shown within 7 days, along with the receipt for the original entry
8. If you cannot find your email confirmation, your name can be searched at the admissions desk.
9. *Adult season passes are transferable between adults when visiting with a child who also holds a valid season pass. Please note: Child season passes are only valid for the named child on the pass and cannot be transferred between children or adults.
10. Season passes do not gain fast track access on busier days or to closed-off areas of the Farm Park.
11. You will receive regular news and updates with our season pass newsletter. If you do not wish to receive this information, please unsubscribe from our mailing list.
12. By purchasing a season pass, you understand the rules of the Farm Park and the need to follow our Health and Safety Farm Park policies, displayed on our board inside the Farm Park entrance. Parents are responsible for the behaviour and supervision of their children/party at all times.
13. Some special events have an additional charge and are not included within the season pass price, however, you still have access to the Farm Park as normal. Advanced tickets for these events must be purchased online.
14. Season pass vouchers are only valid when presenting a valid season pass and voucher at the time of each transaction. All vouchers are subject to their own T&C’s, dates and times. Tapnell farm reserve the right to change or remover vouchers at short notice. All vouchers and offers are subject to availability.
15. On your visit to the park, the lead person will sign for all vouchers relevant to the group on arrival where they will then be issued. Vouchers are only given out against each individual full paying person. Vouchers that are lost will not be replaced or re-issued. Vouchers cannot be swapped or exchanged and have no cash value.
Use of Personal Information, Photography and CCTV
Tapnell Farm will not share, sell, or distribute personal information with third parties unless required to do so by law.
On occasion we may take photos and/or videos for promotional and/or training purposes. By booking with us, unless otherwise stated, you consent to us taking and using any such photographs or videos without charge. There will be notices up to say when photos / filming is taking place, and you can request not to be included in this.
CCTV is active across our premises for the security of our site, as well as the safety and welfare of customers and staff. Your image/those of your group may be recorded. Your car number plate may also be recorded.
In the event of an accident/incident, your data may be recorded and shared with third parties as part of our duty of care.
Lost Property
We do not accept any responsibility for private property whilst on our premises, including accepting any liability should lost property be returned for any reason to someone who is not its owner or for damage to property whilst on site.
Variation
This agreement can be changed by us at any time at our discretion. Any new booking terms and conditions will be sent to you and will have immediate effect.
Complaints
In the unfortunate event you feel there is a problem with any aspect of your visit – from booking to leaving site, please inform the Duty Manager, Activities Manager or Farm Park Manager (as applicable) as soon as possible so that they can endeavour to rectify the situation.
In the unlikely event your complaint is not resolved, please follow this up within 30 days following your visit by emailing hello@tapnellfarm.com giving all relevant information, clearly and concisely so we can quickly identify your concerns in order to follow up with a speedy response.
East Afton Farm House Terms & Conditions
Definitions
‘PREMISES’: means East Afton Farmhouse, Newport Road, Freshwater, Isle of Wight, PO40 9UF and the surrounding designated areas
‘VENUE’: means East Afton Farmhouse
‘OWNER(S)’: means Turney Family Farms Partnership
‘HIRER’: means the person(s) hiring the premises
‘HIRE CHARGE’: means the amount agreed for the hire of the premises during the hire period inclusive of VAT
‘FUNCTION’: means the wedding
‘FUNCTION DATE’: means the date of the wedding, within the agreed hire period
Payment
Your provisional booking with the VENUE can be held for a 14-day period, unless otherwise stated.
You reserve the right to cancel your booking at any time during this 14-day period although any deposits already paid within this time frame will remain non-refundable.
A non-refundable £2000 booking fee is required whilst your booking remains provisional which once received, will confirm your booking.
The deposit required, and its due date, is listed in the payment details of the booking confirmation.
If the booking fee is not received within 14 days of booking, the date will be released and will become available for other bookings.
50% of the total balance is due no later than 365 days before the FUNCTION DATE. If the booking is made within 365 days of the FUNCTION DATE, then 50% is due to secure the VENUE.
100% of the remaining balance of the hire charge is due 2 months before your FUNCTION DATE. A reminder email will be sent on this date if the balance has not been paid.
Dates are non-transferable once booking fee has been paid. Unless otherwise agreed.
Payments can be made via bank transfer, card payment over the phone, cheque or cash. Please make cheques payable to ‘Turney Family Farms’. All prices are inclusive of VAT. Please ensure the 4 digit reference and surname the booking is under is quoted when making any payments.
Cancellation Policy
The OWNER(S) of the VENUE strongly advise that you obtain wedding insurance in advance of planning your wedding which can offer all different levels of cover in the event of a cancellation, failure of suppliers, loss, theft or damage, personal liability and so on. The VENUE requires a copy of your wedding insurance, alongside the deposit payment to secure the booking. If the HIRER does not want to take out wedding insurance, then a waiver will be signed by the HIRER confirming that they understand all payments are non-refundable and non-transferrable and cancellation charges apply.
It is the responsibility of the HIRER to take out the insurance policy and to ensure you have the correct level of cover.
If the OWNERS(S) cannot perform any part of the contract with the HIRER due to any events or circumstances which are unforeseen, unavoidable or outside the reasonable control of the OWNERS(S), the OWNERS(S) shall have the right to cancel the contract with the HIRER, and the OWNERS(S) liability shall be limited to the return of any payments received from the HIRER, or on the HIRER’s behalf. The OWNER(S) may also offer alternative dates, subject to availability, and at their discretion.
Cancellation by the HIRER must be made in writing and will only be permitted without charge if written notice of the cancellation is received by the VENUE more than 9 calendar months prior to the Function Date. The 50% deposit, however, remains non-refundable.
Cancellation within 9 calendar months will be subject to the following cancellation charges:
Cancellation Charges
between 6-9 calendar months prior to function date – loss of deposit + 25% of the outstanding balance of the hire charge is payable
between 3-6 calendar months prior to function date – loss of deposit + 50% of the outstanding balance of the hire charge is payable
less than 3 calendar months prior to function date – loss of deposit + 100% of the outstanding balance of the hire charge is payable

Capacity
The MAIN RECEPTION BARN has a capacity of 70 seated/ 100 standing without the marquee extension
The STONE CEREMONY BARN has capacity for 120 seated
The MARQUEE extension 9x9m with the main barn has a capacity of 130 seated/ 180 standing
General
The venue HIRE CHARGE includes: exclusive hire of the barns, main house with annex and grounds from 4pm Wednesday- 10am Monday, parking facilities, 100 chairs with chair covers if required, 10 round tables with tablecloths if required, 4 trestle tables with tablecloths if required, 5 highchairs if required (must be requested), glassware for the bar only, bar facilities with no corkage options, toilets with disabled and baby changing facilities, kitchen facilities within the main house, bar staff (with the paid bar option), wedding coordinator and team to supervise on the day, lighting, underfloor heating in the main reception barn, speaker system (perfect for background music, ceremony music, not the main entertainment).
The CEREMONY FEE includes a clean blank canvas ready for your ceremony to take place. It does not include additional seating other than that included within normal hire charge.
The MARQUEE HIRE FEE can be arranged via an external company. The VENUE & OWNER(S) cannot take responsibility for any damages caused to or by any third-party suppliers- this responsibility must be accepted by the HIRER and the third party used.
The above HIRE CHARGES excludes but can be hired at an additional cost agreed by the OWNERS(S): Further guest accommodation at Tapnell Farm, discounted ferry travel, rustic ceremony bench seating, straw bales, candy wheel, extra staff members.
The use of fireworks, Chinese lanterns and such are strictly forbidden. All candles must be contained or in enclosed glass.
Confetti is to be biodegradable and is permitted in designated outside areas only. It is the HIRER’s responsibility to inform their guests of these conditions.
Smoking is not permitted inside any of the buildings, however guests can smoke in the outside areas of the courtyard. The VENUE will provide sand buckets for cigarette butts- it is the HIRERS responsibility to ensure that guests are aware of these and these are used.
Venue Access
Suppliers/accessories/decorations/table arrangements and anything other than Moor Hall property that is required for your wedding day are not permitted onto the VENUE until Wednesday 4pm, unless otherwise agreed with the VENUE.
It is the responsibility of the HIRER to remove everything from the venue by 10am on the Monday including anything that you do not wish to keep.
All guests, apart from those staying in the farmhouse and annex, are to vacate the PREMISES promptly at midnight on the FUNCTION DATE and all guests by 10am Monday at checkout. Any guests remaining after this time will be asked to leave the premises, unless otherwise agreed with the VENUE.
A member of staff will greet you on your arrival day, will be contactable during your hire and a will be on site overseeing all aspects on the FUNCTION DATE.
Suppliers
By signing these terms & conditions, you agree to allow us to contact your photographer/videographer directly and give us permission to use photographs from your wedding for advertising, social media & website purposes. If you are not happy with this, please let us know in writing.
No defacement of the interior decoration or furnishings of the VENUE will be allowed (drawing pins, glue, sticky tape, fixing spray or alike).
Any outsourced suppliers/entertainers must provide the VENUE with their public liability insurance certificates at least 4 weeks in advance which must be valid for the duration of the function. This legislation has been adopted from the Local Authority in an attempt to ensure that guest’s safety is maintained at all times.
Suppliers/Entertainers are to provide East Afton Farmhouse with PAT test certificates for electrical equipment where applicable. If the VENUE considers that the equipment is unsafe, we reserve the right to disconnect the power supply.
The HIRER is responsible for any damage caused by their suppliers regardless as to whether the VENUE has approved/recommended them or not. It is advised that HIRERS agree to the terms and conditions of supplying products and services with each such supplier. The HIRER is to ensure that their contractors are aware of and abide by the restrictions set out in this contract. Please note that, where NTE provides a recommendation or suggestion as to potential third-party service providers, you should check that those service providers are suitable as the VENUE will not be liable for those third-party service providers.
The HIRER is permitted to self-cater the FUNCTION. The VENUE provides a blank canvas for the HIRER to choose the preferred caterers.
Personal Belongings & Lost Property
The PREMISES will not accept liability to any lost, stolen or damaged gifts or belongings of the HIRER, their employees, contractors, agents or guests throughout or following the function.
In particular the HIRER is requested to remove all wedding gifts following the FUNCTION, as the DIRECTOR(S) cannot accept any items for safe keeping.
Any unclaimed lost property items will be kept for a period of one month after your FUNCTION DATE.
Any vehicle parked and/or left overnight is at owner’s risk and are to be collected no later than 10am on the Monday, unless agreed otherwise with the VENUE.
Behaviour & Conduct of Guests
The FUNCTION shall be private invitation only.
The use or possession of drugs is strictly forbidden at the PREMISES and anyone found taking or distributing any form of drugs will be removed from the function.
The HIRER will be held responsible for any defacement of the VENUE at the time of the FUNCTION.
The HIRER agrees to be responsible for damage or defacement of the PREMISES by the Hirer or by persons attending the FUNCTION with the permission of, or at the invitation of, the HIRER and will be held liable for the cost of repair or refurbishment which will be deducted from the security deposit if necessary.
The HIRER will be held responsible for the behaviour and conduct of guests, contractors and suppliers attending the premises.
Guests are to stay within the confines of the PREMISES at all times.
We have a zero-tolerance policy to violent or abusive behaviour towards any of our staff and we will remove individuals from the PREMISES immediately if we believe they are acting inappropriately.
The OWNERS(S) of the PREMISES have the right to remove any individual from the PREMISES at their discretion.
Bar & Entertainment
To comply with the licensing regulation, music must stop at 12am and it is the responsibility of the HIRER to ensure that any entertainer engaged by the HIRER is aware of this requirement. We have an automatic system that will shut off the power supply to all sockets in the event barns at this time.
It is against the law to supply alcohol to anyone under the age of 18. The OWNERS(S) and bar staff reserves the right to refuse the sale of alcohol to an adult if we believe this is on behalf of a child or for a child’s consumption.
The OWNERS(S) and bar staff reserves the right to refuse the sale of alcohol to any persons who are exhibiting drunken or disorderly behaviour and will remove them from the PREMISES if necessary.
The VENUE bar will close promptly at 12am with last orders called at 11.45pm. The HIRER(S) and personal license holder at the FUNCTION will be held liable for any overrun of these times. The VENUE must be completely empty apart from those staying in the farmhouse and annex by 12:30am. After this time HIRER(S) must not continue with any loud music or loud noise. This is in consideration of our neighbours.
The OWNER(S) of East Afton Farmhouse reserve the right to change the published bar selection & prices without prior notice.
The OWNERS(S) reserve the right to make reasonable amendments to these terms and conditions at their discretion and will endeavour to give as much notice as possible to any such changes, should they occur.
